Beyond Hiring: Building a More Structured Workforce Operation.
Workforce Management
Challenge
Managing a large frontline workforce requires seamless coordination across hiring, onboarding, attendance, employee exits and client communication. For Onida, delays in offer issuance, incomplete documentation, manual attendance corrections and inconsistent exit reporting created operational bottlenecks.
Frequent changes in client-side HR stakeholders further complicated coordination between HR, Sales, branch teams and Multiplier, highlighting the need for standardised processes, clearer ownership and better workforce visibility.
Solution
Multiplier adopted a structured approach to strengthen workforce management, streamline employee lifecycle processes and improve operational coordination.
- Standardised Onboarding: Introduced centralised tracking for offer letters, joining confirmations, pending documentation and approval status. MRF automation was proposed and is being implemented internally.
- Structured Attendance Management: Reinforced attendance closure timelines, recommended application-based approvals and established clearer submission and escalation processes.
- Improved Exit Management: Introduced a standard reporting format and centralised tracking for resignations, absconding, no-shows and candidate backouts.
- Stronger Client Governance: Recommended documented SOPs, centralised process records, defined process owners and regular alignment between HR and Sales stakeholders.
- Expanded Hiring Scope: Strengthened engagement with Onida’s HR team, enabling Multiplier to expand hiring support to technicians previously engaged through other vendors, as well as Assistant Sales Managers (ASMs) on Multiplier’s payroll.
Results
The process improvements established a more structured foundation for managing manpower services and day-to-day workforce operations.
- Greater Onboarding Visibility: Centralised trackers improved visibility into pending offers, approvals, documentation and joining status.
- More Controlled Attendance Closure: Defined cut-offs and escalation mechanisms created a clearer framework for timely attendance processing.
- Better Employee Record Management: Standardised exit reporting and reconciliation processes supported improved documentation and employee-status tracking.
- Expanded Recruitment Scope: Multiplier extended its hiring support to additional technical and sales management roles.
- Improved Stakeholder Alignment: More consistent engagement with client HR teams helped build a better understanding of Onida’s internal functions and business verticals.
- Headcount Growth: Scaled the workforce from 300+ employees at account onboarding to 700+ today, reflecting sustained growth and an expanding manpower management partnership.
